Branding & Customization

Customize the appearance of your quotes, invoices, and client portal — upload your logo, change colors, add invoice visuals, attach terms and conditions, and set up white-label resellers.

Organisation Settings

To access general organisation settings, click your name (top right) and select Organisation. Most parameters that affect the appearance of your documents — invoices, quotes, and portal branding — are configurable here. The fields are largely self-explanatory.

Adding Your Company Logo

  1. Click your name → Branding
  2. Click the pencil icon on the pre-filled brand profile (do not click "Add" — edit the existing profile)
  3. Upload your logo file

Logo guidelines:

  • Maximum height: 3 cm
  • A wider-than-tall format works best
  • Accepted formats: jpeg, png, jpg, svg

After uploading, generate a test quote or pre-production invoice to check the positioning. The logo format is identical on quotes and invoices, so testing with either document type is sufficient.

Tip: Iterate on the logo size and format until you are satisfied. A logo that is too tall may push content down, while one that is too small may look lost in the header area.

Changing Document Colors

  1. Click your name → Organisation
  2. Find the R, G, B value fields (located mid-page)
  3. Enter the RGB values for your desired brand color
  4. Click "Update"
  5. Generate a test quote or pre-production invoice to verify the result

Note: The font color on documents is not customisable — only the accent/highlight color can be changed via the RGB fields.

Adding a Visual to Invoices

You can add a promotional image or advertisement that appears on the first page of all client invoices.

  1. Click your name → Branding and then the pencil icon on your brand profile
  2. Upload an image respecting the 18 cm x 6 cm format

Important: Using an image that does not match the 18 cm x 6 cm dimensions will cause distortion. If your image is smaller, embed it in a Word document, add white space around it to fill the full dimensions, then take a screenshot of the result.

  1. Optionally, enter a URL to make the image clickable (the client is taken to that URL when they click the image in a PDF viewer)
  2. Save

The image will appear on the first page of every client invoice going forward.

Tip: You do not need to wait for a full pre-production run to check the result. The system processes invoices top-down, so the very first invoice generated will already show your changes.

To remove the visual: Upload a blank white image and clear the URL field.

Bank Details on Invoices

To display your IBAN and BIC on invoices:

  1. Configure your bank details in Organisation settings
  2. Ensure the folder's payment method is set to "Bank transfer" (virement bancaire)

Bank details only appear on invoices where the payment method is bank transfer. Folders set to other payment methods (direct debit, credit card, etc.) will not show banking information.

Attaching Terms and Conditions to Quotes

  1. Click your name → Organisation
  2. Find the Terms & conditions field
  3. Paste your terms text (remove any text formatting before pasting for clean rendering)
  4. Save

To include terms and conditions on a quote:

  1. Open the folder
  2. Go to Prepare documents
  3. Select "View as contract" or "Send as contract"

Note: A standard "Quote" document does not include terms and conditions. You must use the "Contract" format for the terms to appear as an appendix.

Email Sender Configuration

You can set custom sender addresses for automated messages (invoice notifications, ticket updates, etc.) in the Organisation settings.

Important: After configuring sender addresses, share them with the BlueRockTEL team so they can set up the proper email authentication (SPF, DKIM) to ensure reliable delivery.

White-Label Resellers

BlueRockTEL supports white-label configurations for resellers who operate under their own brand.

Note: Each reseller added to your instance increases your monthly fees. Check your order terms for details.

To set up a reseller:

  1. Create a user with the Commercial role — this restricts their view to only their own clients, prospects, and pricing, with no access to exports or other accounts
  2. Create a second branding profile under your name → Branding with the reseller's logo and company details

The reseller's clients will see the reseller's branding on invoices and documents, while you retain full visibility and control from the Superadmin level.
