The file is the fundamental element of recurring billing. It is important to carefully complete the file to ensure smooth invoicing process.

BlueRockTEL allows you to create as many files as necessary for a single client. This enables, for example, differentiation between multiple sites.

Billing will always be based on the file, meaning that there will be as many invoices per client as there are active files.

The file consists of four distinct parts:

  • General file information.
  • Elements subject to initial billing.
  • Elements subject to recurring billing.
  • File re-billing base

General elements of the file

In this section, the following details are specified:

  • Effective date
  • File status
  • Payment method

Additionally, you can indicate the representative (salesperson) responsible for the file, the installer (technician), and a potential credit balance before invoicing.

Elements subject to initial billing

This section is used to specify the items that will be billed on a non-recurring basis. This may include:

  • Security deposits
  • Installation fees
  • Equipment

Please note that you can add items to the initial billing at any time during the life of the file. They will be automatically included in the next billing cycle.

Elements subject to recurring billing

In this section, all the services that need to be billed periodically will be specified, including xDSL services and telephone lines.

Each service is associated with an item that determines both the price at which it will be billed and its billing method. For a telephone line, the associated line will be indicated, along with a description. The description will be included on the invoice to provide clearer information to the client. It is also possible to specify a label for each service.

For each service, you can specify a start date and an end date, which will be taken into account during the invoicing process.

File re-billing base

Here, the following is specified:

  • either a re-billing rate,
  • or a price per minute for each call category: landline numbers, mobile numbers, and special numbers

In fact, some BlueRockTEL users invoice their clients based on what is billed by the VoIP provider (applying a certain coefficient), while others completely disconnect their own billing from that of the VoIP provider. You can make your choice based on your business strategy, knowing that BlueRockTEL gives you the greatest flexibility in this regard. You can even choose a different option for each client or even for different files within the same client.
